As an Administrative Assistant focused on Legal, you'll provide support to the Legal Team, which includes Contracting, Real Estate, and Legal Services.
1.
Manages tracking tools for litigation matters and facilitates fulfillment of requests for information and records made by outside counsel.
2.
Prepares correspondence for legal team and maintains accurate records of legal correspondence and filings.
3.
Tracks metrics for legal services.
4.
Assists with logistics and coordination for depositions and court appearances.
5.
Drafts and files annual reports and other corporate filings for the organization with the oversight of the General Counsel.
6.
Supports Contracting team with vendor contracts, participating provider contracts, and provider subcontracts by utilizing tools in Salesforce and supporting coordination of multi-department reviews and approvals.
7.
Supports Real Estate team with preparing correspondence and maintaining logs of same for real estate projects.
8.
Prepare slide decks and other presentation materials for internal and external presentations made by members of the Legal Department.
9.
Maintains the calendar, schedules appointments, and coordinates meetings for the General Counsel & Chief Compliance Officer.
10.
Ensures timely follow-up on legal deadlines and court appearances.
11.
Prepares agendas and takes meeting minutes for the Legal Team as needed.
12.
Ensures timely follow-up on deadlines for Contracting team and Real Estate team.
13.
Perform job functions while maintaining confidentiality.
14.
Performs general troubleshooting for the Legal Department.
15.
Maintains contact lists.
16.
Juggles multiple activities and works well under pressure.
17.
Works cooperatively in a team environment.
18.
Coordinates Quarterly Team Days and other team activities.
19.
Processes Legal Team Credit Card and Invoices monthly in Concur Management System.
