Purpose of the position
As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office environment and providing guests and customers with an exceptional experience both in person and through voice calls.
You will undertake a variety of administrative tasks to support daily operations, maintain efficiency, and facilitate the achievement of organizational goals.
This role requires excellent organizational skills, attention to detail and the ability to multitask effectively.
The ideal candidate will be proactive, reliable, and capable of working both independently and as part of a team.
Your typical day
1.
General Administration:
Answer and direct phone calls in a professional and courteous manner.
Greet visitors and direct them to the appropriate person or department.
Manage incoming and outgoing mail and packages.
Maintain office filing systems and ensure documents are organized and accessible.
Order office supplies and maintain inventory levels.
Assist in the coordination of company events, meetings, and special projects.
Liaise with internal teams, external vendors, and clients as necessary.

Facility Support:
Oversee the maintenance of office equipment and coordinate repairs, testing or certification of equipment as needed.
Monitor and maintain office cleanliness and organization.
Coordinate with site management for facilities-related issues, .
Maintain tidiness and preparedness of the Conference Rooms and other communal spaces.
Maintain stock and organization of office supplies and kitchen area.
Liaise with facility service-providers, such as cleaners and suppliers.
3.
HR Support:
As needed, may assist with new hire onboarding – including coordinating or preparing required documentation, coordinating worksite arrangements and new hire orientation.
May assist in light HR coordination tasks, including scheduling interviews, preparation of materials or management of record-keeping.
Support employee engagement efforts, as needed.
Assist in organization and coordination of guests to Kistler as part of the management exchange program.
Your profile
High school diploma or equivalent; bachelor’s degree a plus
Proven experience as an office administrator, office assistant, or similar role.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational and time management skills with the ability to prioritize tasks.
Excellent verbal and written communication skills with a strong emphasis on customer experience.
Attention to detail and accuracy in data entry and record-keeping.
Ability to maintain confidentiality and handle sensitive information with discretion.
Flexibility and adaptability to changing priorities and environments.
Positive attitude, team player mentality, and willingness to take initiative.
